Whether you are a stay-at-home-mother or a corporate worker, you will likely have your share of meetings this year. A mother may need to organize meetings for the local church food drive or for the school PTA, while a corporate worker may be planning meetings with important clients. The point is that no matter who you are, you should always know how to organize a great meeting. The first step, after scheduling a time, date, and location, in organizing a meeting is planning the agenda. Agenda planning is a step that you simply cannot skip when it comes to a successful meeting. If you are unsure how to plan an agenda, use these steps to get you started.

Style

The general style for an agenda is an outline form. This will allow you to document the main issues with just a few words. For example, if you are planning to discuss the pizza fundraiser, you would only need to add “Pizza Fundraiser” to the agenda. There would be no need to go into any further detail about the fundraiser. Those who attend the meeting will be able to hear the details directly from you or the speaker and will be able to take their own notes. Being concise will help you create your agenda in very little time. This is the standard format, so don’t be afraid you are being too vague.

Information

Choosing what information should go onto the agenda can be tricky. If the meeting is a recurring event, then you probably want to begin by adding a section devoted to recapping what happened at the last meeting. For instance, if your meeting occurs every month, write a “Last Month’s Recap” section and spend just a few moments going over what was accomplished. Then you can proceed to current sections. Add each main point that you plan on discussing. If there are formal activities that must be done, such as voting on issues, be sure to add that as a bullet on your agenda. Adding the names and introductions of guest speakers is great as well. This will allow everyone to get the proper spelling of the guest’s name. When you are adding information to the agenda, keep in mind your meeting’s time frame. Do not add a bundle of information that you will not likely get around to discussing. If you are heading the meeting, do not be afraid to say “We must move on from this issue right now”, if you are going over on one issue.

Closing

Adding a small closing to the agenda is the perfect way to end your memo. You can add a little section with notes about what will be discussed at the next meeting. Adding the date, time, and location of upcoming events is also a great idea. You can also add a little “thank you” section to those who participated or headed certain tasks throughout the month. If you are having a corporate meeting, you can also add goals or deadlines that everyone should be aware of. It is up to you on what to add to the closing section.

Contact Information

It is important for you to include any important contact information the members of the meeting might need on the agenda. Many times the agenda is something that members of the meeting will keep and utilize in the future. Therefore, any important contact information of clients, directors, and other members should be included somewhere on the agenda. This is a great organizational tip and will help avoid questions later regarding this information.

If you are in charge of an upcoming meeting, you should not avoid planning an agenda. An agenda will help you stay on track, especially if you are nervous about the meeting. It will also give the members of the meeting a chance to stay focused on the information being presented. This is why it is important to make a list of the tasks you are assigned and complete them as soon as possible. Once you finish your task, it becomes easier and you can move on to other tasks. If you work at a company that offers an email account and most of your business is handled via Internet, then you know that excessive emails are annoying. Customer accounts, contracts, and other important documents we do not want to loose, so to keep your mailbox from piling up, it is smart to only give your email address to clients. We can avoid emails piling up by not providing information to advertisements that ask for our information. If you want to place, an order for a product be sure to use an email account that does not send out information over the Internet. Many companies have a managing program that works to save time. Databases often store valuable information, and should be maintained. If you store information on the database, be sure to delete or store old files in a different area, so you can save time. If your email accounts only stores documents that are important to your business, you can save not only time, but also you can spare yourself from liabilities that may creep up. It depends on the company and what type of email account they require the employee to use, but Microsoft Outlook includes features such as address books, business and other features that help the user stay organized.

Notes are essential since they too play a role in time management. Learning the techniques to taking good notes is a start in the right direction. When we take good notes, we are able to stay organized and run our life smoothly. If you attend a lot of meetings, it might be wiser to meet with the parties attending the meeting before it starts. This can help manage time by informing the co-workers ahead of the game what the meeting entails, as well as enabling you to take notes before the meeting starts.
Essentials in time management also include taking time out for yourself, preparing, keeping your priorities in order, and working toward the goals you set.

Focusing on the Big Picture in Managing Time

Are you focusing on the big picture when you are managing your time? If you are focusing on the smaller picture rather than the bigger picture, you might want to sit down and review your time management scheme, plans and actions again. There are two types of goals in time management. There are short-term goals and long-term goals and both require planning, action, and timeframes. Our short-term goals are often what we want to achieve in two or five years, but our long-term goals are our ultimate destination to success. Of course, we must look at our short-term goals through out the process of time managing our way to achieve our goals, but the big picture is where it is. Your can’t ignore one or the other. Goals are something set for our self, and strive hard every day to reach those goals. Notice I said “every day.” I am a firm believer of standing up for what I believe in. If we do not take that stand, no one else is going to do it for us. Therefore, if you want to achieve your goals, then you better be looking at the big picture, while you are working hard every day to reach the smaller picture. This means you will not slack. I am not saying you can’t take a break, but that break had better be a rejuvenation to get back on track. Time management is tricky in most cases, yet it is simple in all cases.
If you are aware of your goals and abilities to achieve those goals, you have two main elements to obtaining those goals. If you are slacking in an area that delays your goal, then you have to find a solution to meet those goals requirements. For example, if your goal is to be a successful business owner over the course of ten years, and you are lacking knowledge, education and skills to obtain that goal, you know what you have to do. When you create that time management solution, then you will need to consider all aspects of life. This means you will factor in the good and bad in that time management scheme.

All right, now we are on a journey to open our own business in the next ten years. What do we need to meet those goals requirements? We need to focus on finance, time, energy, plans that work to meet the goals deadline, and what we need within to get what we will not from that goal. Let the journey begin!

Time management starts with goals, which is the terminal point of a competition. Keyword: Competition: we must strive very hard each day to reach our goal since we are in constant competition. If you have laid out a business plan, as the years progress you might find that the competition level has increased. We must also consider competitive price increase-decrease. In other words, you are saving money to reach a goal and realize that you have competitors. In your time management scheme is your plans to meet that goal, and your financial savings and budgeting is listed in this plan. Did you factor in increase in advertising and marketing? How about the overhead of your business in the next ten years, once your business is up and running. What about the financial expenses to run your business smoothly, which will almost certainly increase over the next ten years as well as the expenses of providing for your family, and other need that may increase through this timeframe.
Now we can look at skills and education. Do you have the skills and education required to run the type of business you intend to open in the next ten years? If not you should deduct the cost and time of education in your time management scheme, and increase it by including productivity as a result of putting forth the efforts of meeting your goals.
How much energy and time are your willing to invest in meeting your goals deadline. If you are wasting time in one area of your life, you might want to add a year or two to your goal, and deduct money and time from your time management scheme.

You can read all about time management skills, but if you never begin to use them, you will never reap the rewards. Getting on track with your time management skills is a difficult step. It is easier when you jump head first into it. You may seem a little off balance the first week or so, due to the new way of doing things, but after you get use to the newer system; you will find yourself more relaxed and happy. These five time management tips are great ways to get started.

Spare Time v. Free Time

There is a difference between spare time and free time that many people don’t recognize. Spare time is the time you have in between important tasks, while free time is time you have when you have nothing else to do. Using spare time to your advantage is a great time management opportunity. Tasks such as making phone calls can easily be done from your car or while you wait at the doctor’s office, so go ahead and get them done. Time you have in between meetings is a great time to prepare yourself for the upcoming meeting. Instead of staying up at night preparing, allow yourself to prepare shortly before the meeting, so you will have everything fresh on your mind. These small time management savers will help your overall schedule quite a bit.

Don’t Over Commit

Over committing is a huge problem in families today. Adults are taking on more than they can handle at work, while trying to maintain a happy household. There is so much to do, that everyone gets overwhelmed. The stress and overwhelming feeling can lead to unhappiness if left untreated. Time management relates to your entire family. If your family has too much going on, then you will have too much going on as well. If you are someone who likes to get the most difficult things done early in the day, be sure to plan accordingly. If you would rather work late into the night, then plan later in the day. It all depends on your family schedule and when you are most productive. Obviously if you have children, you probably won’t schedule your important business phone call when they are running through the house. Be aware of your own preferences and the schedules of those around you to get the most out of your day.

Personal Time

Although it has been debated, many researchers feel that spending more time on your self will make your time management skills sharper. Some studies have shown that by exercising each day, workers are more productive and have better time management skills. With this being possible, it is important to schedule time for yourself each day. Even if it is only a half hour spent walking the neighborhood or reading a book, it will likely help your overall time management outlook. Be sure to schedule personal time when you are most likely to be focused on just yourself. Trying to read a book right before a huge deadline is not likely the best time. You will probably be stressing over the deadline and getting very little quality personal time in.

Time Management and Motivation

Time management is essential for having a successful life, however if there is lack of motivation, time management can be a struggle. Motivation keys into time management since when a person is lacking motivation they probably are not keeping their important documents filed, or meeting time plans that are required of them: the key then to achieving a motivation level that will benefit your every day plans, is stop putting off tomorrow, what you can do today. If you see your desk is in a rut, do not stand their and say, “oh well, I will get to it sooner or later.” Rather organize your desk, and look back at your labor. Feel it! If you follow this plan you will soon feel better about yourself, and motivation is in the process of being cultivated. Time management will follow once your motivation perks up. Motivation is a force, a stimulus, or influence. It is a drive within us that we must put to use in order to achieve. Regardless of your situation, motivation is possible to obtain. Tips:

If you have a hard time remembering, you might want to post notes on the refrigerator, computer, or any office area or home area where you visit every day. This is will remind you of your daily duties, and possibly help with your motivation to get it done!
Engagement books, address books, or other types of stationary provisions are available if you do not have a problem with memory, and need a reminder by opening up your book. If you like, pictures try to find a pretty stationary book that keeps you focused on the plan. If you have to get up early to go to work, you might want to set your clothes out the night before, and plan your day as scheduled. For example, if you have important tasks to handle the next day, don’t have an extra cup of coffee, rather get to the job, and get it done. Once you finish you can move onto others tasks, and have that cup of coffee later when you realize that you just managed your time.

You can also invest some of your time in yourself. When we let ourselves go, it often affects us in many ways. If you enjoy exercise, then exercise before you go to work for a few minutes. This will build motivation, stamina and help your find the energy you need to get the rest of your work done. Eat a healthy breakfast, instead of rushing out the door. The saying “the early bird gets the worm” is very true. When you wake up early, you not only feel good, but you accomplish what you set out to do. Taking the first step is not always easy, but once you get the motor a running, you are on your way to managing your time since your motivation is climbing the ladder to success.
